This office has a phone system comprising seven components, and as an Office Manager you are responsible for directing phone traffic among them. Of those seven parts, five are small console phones located in the offices of individual staff members (STAFF PHONES). Part six is the handset located on the shelf just under the bulletin board (the BOARD PHONE). Part seven is the larger console located at the manager's work station (the CONSOLE). To manage the phone traffic you need to be able to do a number of tasks-here they are, with instructions.
1. All our incoming calls automatically ring on the board phone, ext. 3117. TO ANSWER THE BOARD PHONE FROM THE CONSOLE, all you need do is pick up the receiver of the console and hit the CALL PICKUP button. The call will automatically transfer to the console.
While you're talking to someone at the console, you may need to transfer the call either to a staff phone (because the call is for the staff member) or back to the board phone (because you need to consult the schedules while talking to the caller). So....
2. TO TRANSFER A CALL FROM THE CONSOLE TO A STAFF PHONE, hit the TRANSFER button and then the NUMBER button for the staff office you want. That staff phone will ring; when the staff member answers, announce the call and then again hit the TRANSFER button. You can now hang up the receiver of the console.
3. TO TRANSFER A CALL FROM THE CONSOLE BACK TO THE BOARD PHONE, hit the PARK button, the 3117 button, and then the PARK button again. Hang up the receiver to the console, walk over to the board phone, pick up that receiver and then manually dial # 6 3117. You should then be able to speak again to the original caller.
4. You also from time to time may find you need to TRANSFER A CALL FROM THE BOARD PHONE TO A STAFF PHONE. To do this, just tap the hook switch on the board phone, manually dial the staff extension you need, wait until the staff member answers, announce the call, and hang up.
5. On occasion you may find that a staff member doesn't answer a forwarded call, and in such a case you'll need TO RETREIVE AN UNANSWERED FORWARDED CALL BACK TO EITHER THE CONSOLE OR THE BOARD PHONE. From the CONSOLE, hit the 4463 button (it's the bottom one and should have the flashing arrow); you then should again be talking to the original caller. From the BOARD PHONE, just hit the hook switch again and the original caller should reappear.
Occasionally this equipment will, pretty much on its own, automatically forward the 3117 line to one of the staff extensions. You'll know this has happened if you can hear a pulsing beep, rather than a dial tone, on the receiver of the BOARD phone. When this happens, pick up the receiver of the BOARD phone, hit # 4, and hang up. The problem should be fixed.
As a final note, this system is not custom built but rather was assembled for us from "off-the-shelf" components. As a result, the big CONSOLE will in fact do a bunch of stuff we don't need done. So, please, DON'T PLAY WITH THE BUTTONS NOT MENTIONED IN THESE INSTRUCTIONS. It's hard to predict what might happen.
