Submitting letters: Please submit as a Microsoft word document, text formatted and send via email, fax (641-269-4313), or U.S. mail.
Class Advisors/Editors: Your class advisor will help you with ideas, edits and questions for your letter.
Printing letters: CFD letter advisors process letters as soon as they are submitted. These are the internal steps:
- catalog letter
- edit; with CFD review of only major edits
- layout for printing including preparation for mail merging
- request mailing list from other staff members
- review mailing list
- code mailing in alumni records
- order supplies and ship to print house
- print letters, envelopes, inserts (pledge form)
- ship letters for hand signatures and personal notes
- stuff/mail letters
Signing Letters: It is recommended when possible that CFDs sign each letter by hand and add brief notes to classmates regardless of whether or not the CFD knows them. Thanking a classmate for past support, expressing the hope for an increased gift or a renewal of lapsed support, or a quick hello are all effective notes.
Include congratulations on a new job, a new child, or a new degree. If
someone recently moved, they can be asked how things are going at the new
location. This is a chance for a CFD to connect person-to-person with classmates.
These personal touches improve the participation of alumni in the class gift
through the Pioneer Fund.
Mail and Postage: Mail the letters from home or return with signatures for further stuffing and mailing from Grinnell. There are three options for postage:
- Grinnell College can provide stamped envelopes.
- Postage can be reimbursed by submitting receipts with the reimbursement/gift credit form.
- Gift credit can be awarded when a CFD pays for postage. They can then take the tax deduction at the end of the year.
Guest writers: Guest writers provide a different perspective for Grinnellians to consider. Guest writers make a personal statement about one's own sense of philanthropy and reasons for giving. There is never one person or one case that will connect with every classmate.
