Voice Mail :: Multi User Mailbox

Multi User Mailboxes have features unique to student voice mail. These are not available to faculty and staff of the college.

Introductory Tutorial

  • "Read" messages can be reverted to an "unread" (new) status
  • Automatic "send" command when user hangs up after composing a message
  • Automatic, timed reset of mailbox lockout due to invalid password attempts
  • IMPORTANT NOTE ON MAILBOX STORAGE LIMIT: Mailbox storage limit defines the
  • maximum amount of storage (in minutes) available to the mailbox. The main mailbox
  • and the submailboxes all contend for the same storage space!

For example, 10 minutes of storage is allowed for a mailbox - User A has 8 minutes of messages and User B has 2 minutes of messages. All of the storage time is now used (a message will be played to the mailbox owner indicating that the mailbox is full). Messages need to be deleted to reduce storage used. Callers who access call answering for this mailbox cannot leave a message. (Singles are allocated 5 minutes of storage, doubles - 10 minutes, triples - 15 minutes, quads - 20 minutes.)

Multi User Mailboxes (from Main Menu, press 9, press 9 again, then press 2)

  • The mailbox is partitioned into a Main Mailbox plus up to 3 submailboxes.
  • Creation and administration of submailboxes is done by the Main Mailbox only.
  • A Message Waiting summary is played to user prior to login from "home phone".
  • Call Answering provides a menu of mailbox users for whom a message can be left;
  • if caller makes no choice, Call Answering will default to the Main Mailbox.

Submailbox Access with Multi User Mailboxes

  • The Main Mailbox and submailboxes have the same mailbox number (usually the
  • 4-digit room phone number) but distinguishing passwords.
  • There is no Autologin feature because the password is required to determine the
  • correct mailbox.
  • Submailbox Numbering
  • • Main Mailbox is submailbox "1"
  • • Subsequent mailboxes are submailboxes "2" thru "4"
  • Passwords must begin with the submailbox number.

Message Waiting Summary with Multi User Mailbox

  • Message Waiting Summary is played upon login to a mailbox with an active sub-
  • mailbox(es) and at least one new message.
  • Only the phone associated with the mailbox (the "home phone") receives the Message
  • Waiting Summary.
  • Message Waiting Summary:
  • • Messages are waiting for User A, User B (this indicates the need to login )

Call Answering Menu with Multi User Mailbox

  • Callers will hear the Call Answering Menu: To leave a message for Main mailbox, press `1` or remain on the line,
  • For Submailbox 2, press `2`,
  • For Submailbox 3, press `3`,
  • For Submailbox 4, press `4`.
  • If no keys are pressed, defaults (on timeout) to main mailbox.
  • Call Answering Menu contains the Main Mailbox and all initialized submailboxes.
  • Caller will hear the Personal Greeting of the selected mailbox.

Submailbox Administration with Multi User Mailbox

  • The PBX System Administrator can only set the number of possible submailboxes
  • (by assigning a Class of Service). All other mailbox administration is done by the Main
  • Mailbox owner.
  • The Main Mailbox owner can create, delete or modify submailboxes.
  • To create a submailbox:
  • • Select submailbox number
  • • Ensure main mailbox spoken name and password are initialized
  • • Initialize submailbox spoken name and password
  • To delete a submailbox:
  • • Select submailbox number
  • • Asked to confirm deletion if the submailbox has messages
  • The Main Mailbox owner can change the password and spoken name to
  • submailboxes.

Example of Meridian VMUIF Modify Family Mailbox 1111 (owner is Felix); provide Family Mailbox capability so that roommate Oscar can receive separate messages in the mailbox:

  • Dial the Student Voice Mail access number (4319), login to mailbox 1111 and setup
  • the submailbox for Oscar:
  • • Assign submailbox "2"
  • • Forced to record a name (personal verification) and set a password that
  • starts with "2"
  • Call 1111 and leave a message for Felix (no keypress required or could press "1")
  • Call 1111 and leave a message for Oscar (must press "2")
  • Call the Student Voice Mail access number (4319) and hear the Message Waiting Summary:Messages waiting for and
  • Login to 1111 (main mailbox)
  • • Hear that Felix has one new voice message
  • • Read the new message
  • • Delete the message (message waiting light will stay on due to Oscar's message)


Forwarding Your Phone to Voice Mail
Your phone will automatically forward to voice mail if the line is busy or there is no answer after four rings. However, you may manually forward your phone to voice mail by following these instructions:
Lift handset
Press *4
Hang up

To cancel forwarding:
Lift handset
Press #4
Hang up
