Services of the P-Card
The new Pioneer One-Card program is designed to provide the following services:
- Declining balance (Campus Cash) account - for those who choose to participate
- Access to Buildings
- Access to Services
- Verification of Identity and Age for Campus Services and Activities
General Policies and Procedures:
Your new Pioneer One-Card is valuable. To protect cardholders and College departments relying on the card, the following policies and procedures have been developed and apply to all individuals issued a P-Card.
Your Pioneer One-Card is for your use only. Never loan your card to another individual. To protect cardholders, the College staff will examine ID cards when presented for goods or services to confirm the card is being used by the person to whom it was issued. These staff members will not accept an ID card if the photo on the card does not look like the individual presenting the card and will notify the Pioneer One-Card Office when they have declined a card transaction. You will be responsible for any activities, services, privileges, or sale transactions occurring using your card if it was loaned or given to another person.
An additional form of identification may be requested to ensure the Pioneer One-Card belongs to the individual presenting the card. All faculty, staff, and their dependents 16 years of age or older obtaining their initial Pioneer One-Card must provide government issued photo identification. Dependents of faculty or staff under the age of 16 must provide government issued photo identification or be accompanied by the Grinnell College faculty or staff member. Examples of acceptable government issued photo identification include: U.S. passport; unexpired foreign passport; state driver's license; photo ID card issued by federal, state, or local government agencies; U.S. military ID card.
The Pioneer One-Card is the property of Grinnell College. The P-Card must be presented upon request by a College employee. The card expires when the cardholder is no longer affiliated with Grinnell College. The card should be returned to the Pioneer One-Card Office when enrollment, employment, or other affiliation with the College is terminated. Employees may turn in cards at the Office of Human Resources.
Your Pioneer One-Card must never be left with an individual or department as collateral for goods or services. Please notify the Pioneer One-Card Office if you are asked to leave your card with anyone. You will be responsible for any activities, services, privileges, or sales transactions occurring on your card if you leave your card with another person or department.
Treat your Pioneer One-Card as you would a driver's license. If your Pioneer One-Card is lost or stolen, report the loss immediately to the Pioneer One-Card Office (ext. 3661). If after business hours, report the loss to Grinnell College Campus Security (ext. 4600) which is staffed 24 hours a day, seven days a week. However, be aware that a replacement for a lost or stolen card will not be generated until you have requested one at the Pioneer One-Card Office. Similarly to a driver's license or library card, there are fees for replacing the Pioneer One-Card:
- $25 fee to replace a lost or stolen card
- $15 fee to replace a defaced/damaged card (must present defaced/damaged card)
If your legal name changes, the Registrar or the Office of Human Resources will contact the Pioneer One-Card office of this change. You will be asked to provide legal documents to these offices as proof of your name change.
Do not affix stickers or other items to your Pioneer One-Card. Do not punch a hole in your card. To extend the life of your card, please handle it carefully. For example, do not put it in a washing machine, dryer, or dishwasher. Do not use it as a tool (i.e., do not scrape ice from your windshield with it). Store your card in a protective sleeve or wallet. Do not store your card with keys or other items that could scratch or bend the card.
Tampering with a Pioneer One-Card magnetic stripe or barcode, a card reader, data line, or any related equipment may subject the cardholder to disciplinary action or criminal charges. If you witness misuse of a card or card reader, please call Campus Security (ext. 4600).
The Pioneer One-Card Office is responsible for the management of Grinnell College Dining Plans. Campus Cash accounts and the Cash Value Center located in the Joe Rosenfield '25 Center (mailroom lobby) is administered by the Cashier's Office. This document does not supersede any policies, procedures, or agreements cardholders may have entered into with one or both of these departments. Contact the appropriate department for account creation, deposit, and referral policies.
Your Pioneer One-Card is a powerful tool for accomplishing a variety of tasks and was developed to provide you with an efficient and secure way to conduct business on campus. Your cooperation with these policies and procedures will help us to obtain the greatest benefits possible from this ID card system.
