Grinnell College Policy For Enterprise Rent-A-Car Transportation

Questions and Answers

Q. Who can use this service?

A. Grinnell College uses Enterprise Rent-A-Car to supplement our College carpool service. The College and Enterprise Rent-A-Car are working together to provide efficient, low cost transportation for: one-way Des Moines or Cedar Rapids Airport trips; transportation to and from other destinations; and also personal transportation.

This service is to be used by the following: employees, students conducting College business and guests (speakers, consultants, some job applicants). If a guest to campus is to use this one-way airport service, the arrangements with Enterprise will need to be made by College personnel. All who drive Enterprise rental cars must be 21 years of age and possess a valid driver’s license. If you are asked to make regular reservations for specific persons, forward Enterprise in Marshalltown the following information for each driver: full name; home/work address; drivers license number and expiration date; driver's birth date and cell phone number. This information will help to expedite the reservation process. The Marshalltown Enterprise office FAX number is 1-641-752-1377.

Q. Can I make an Enterprise vehicle reservation online?

A. Yes. It is the preferred method to make a reservation on line. In fact, there are links on GrinnellShare for your convenience. (See instructions below.) Remember an account number is required to make a reservation.

Q. Can I use Enterprise for personal trips?

A. Yes. You can choose either business or personal in the first window. You will be charged the same rate as the College when using the online reservation form; however, a $40 delivery fee will be charged in addition to the rental cost. For your first reservation, you will need to go to an Enterprise office to provide your personal information and for subsequent trips, it would save you time to become a member of their Emerald Club.

Q. How do I make a reservation with Enterprise Rent-A-Car?

A. Directions for making an Enterprise reservation online, their preferred method, are as follows:

Go to GrinnellShare.

Please log in, enter ‘Enterprise rental car’ in the search box and you will find the links for either a one-way or round-trip reservation.

The first window, after selecting either business or personal, will ask for location. If this trip is originating out of Grinnell, enter Marshalltown, Iowa. Enterprise will know the vehicle needs to be delivered to the Security office on campus if the reservation is made through GrinnellShare.

If you are making a reservation for a personal rental on the telephone, you will need to mention you are an employee of Grinnell College.

If this is a one-way trip to Grinnell from the airport, enter the airport location and proceed from there. Please allow at least an extra hour from delivery time request until the time you must leave.

If you are needing a vehicle without a day’s notice, make your reservation by calling the Enterprise office in Marshalltown at 641-752-1000 or 800-257-1136. If you are unable to reach anyone at this number, you can leave a message.

You must provide date of trip, time of departure (please allow at least an extra hour from delivery time request until the time you must leave), specify size of car (our College carpool cars are in the “intermediate” size category, larger cars will cost more money) (vehicles intermediate and smaller are not guaranteed to have cruise control) and you must provide the account number to which the trip will be charged. Enterprise will NOT make a vehicle reservation unless an account number is provided. Indicate the direction of the one way trip- either to or from the Des Moines airport. Enterprise can make arrangements for transportation in both directions with one phone call if you know those details.

It is a good idea to double check these transportation arrangements with Enterprise, particularly if these arrangements are made well ahead of time.

Always ask for the reservation confirmation number for ease of future reference, and keep good records of reservation requests and cancellations to clarify later billing questions.

We strongly urge you to check to make sure your vehicle has been delivered during Enterprise office hours if your trip is time sensitive.

Q. What if I need the rental car before or after office hours or on the weekend?

A. Cars will be delivered between 9 a.m. and 5 p.m., Monday through Friday. The Enterprise office hours in Marshalltown are 8 a.m. to 5:30 p.m., Monday through Friday; closed Saturdays and Sundays. They must deliver vehicles on Friday for a Saturday, Sunday, or early Monday departure time. There will be a $9.99 per day early drop-off charge. You may want to check your invoices carefully to make sure the billing is correct.

Q. Can I pick up my car on Saturday if it has already been delivered for my early Monday morning trip?

A. Yes. The daily charge allows for you to have the vehicle at your residence once the vehicle has been delivered.

Q. What if I need to cancel my reservation?

A. Please call Enterprise as soon as you realize you are not needing the vehicle. Cancellations need to be made 24 hours in advance of the scheduled delivery date in order to avoid the daily charges. For example, if a car is delivered for a weekend reservation, you will be charged for three days.

Q. Where do I pick up my Enterprise vehicle?

For trips TO the airport:

Enterprise vehicles must be picked up at Security at 1432 East Street. Pick up the keys and sign the appropriate paperwork at the Security office. Drop the Enterprise vehicle off at the Enterprise Rent-A-Car return lot at the airport. Follow the arrows to this lot once you enter the main gate.

For personal trips originating in Grinnell, Enterprise Rent-A-Car will either deliver the vehicle to you at an agreed upon time (meeting you in person) OR pick you up and take you to the Marshalltown office to complete the paperwork. This will be left to the discretion of the Marshalltown Enterprise Rent-A-Car office and they will communicate to the individual renter on the specifics. Cars can be returned to the Security office at 1432 East Street. If calling to make your reservation, you must tell them you are affiliated with Grinnell College in order to get the College discount.

For trips to campus FROM the airport:

Pick up the Enterprise vehicle from the Enterprise office in the Des Moines or Cedar Rapids airport terminal. Follow their instruction at the desk to pick the vehicle up. Upon arrival on campus, take the vehicle and keys to Security on campus. You can pick up a car at the Des Moines or Cedar Rapids airport after the Enterprise desk is closed. Ask Enterprise how this can work if necessary.

Q. Do I need to fuel up an Enterprise vehicle before I return it?

A. No, it is not necessary to refuel the Enterprise vehicle, but the College will be charged for fuel. All Enterprise Rent-A-Car vehicles provided for these one-way airport trips will have at least ½ tank of gas. This will be adequate to get to or from Grinnell.

Q. Is there a delivery charge?

A. There will be no delivery charged for rental vehicles delivered to the Security office for Grinnell College business use of vehicles for Grinnell College employees.

Q. Can I rent a specialty vehicle such as a minivan or 15-passenger van?

A. If you are wanting a vehicle other than an intermediate or standard sized car, please call Enterprise at the Marshalltown office to arrange for, and confirm, your requested vehicle.

Q. Can students Rent-A-Car from Enterprise?

A. Enterprise does accept reservations from students. Their requirements are a valid driver’s license and you must be at least 21 years of age. There will be an additional underage fee of $20 per day for people between the ages of 21 and 25.

Q. Could there potentially be additional charges?

A. Yes. Cars picked up at the airport have an additional airport charge. Enterprise has been charging this additional fee for quite some time. There can also be a refueling charge and another reason could be that you chose the optional collision insurance. Grinnell College business trips are covered under the College insurance and therefore the optional insurance is not necessary. The academic and administrative offices, as well as Security, have copies of Proof of Insurance cards to be carried with you while driving a rental car. Proof of Insurance is required by the State of Iowa.
